Full Job Description
Duties
Duties include but are not limited to:

The PSA provides general administrative assistant to all Dental Service personnel including Chief, Residency Director, Staff Dentists, Dental Assistants, Dental Hygienist, Laboratory Technicians, and students.
Serves as the Dental Service Timekeeper
Prepares Clinical Profiles of all providers yearly and as needed throughout the year.
Builds and maintains scheduling matrices in approved scheduling adjunct programs. Responsible for making accurate and timely changes to the schedule matrices as required. Is Responsible for receiving, coordinating and submitting clinical cancellation documentation.
Coordinates Community Care activities within the Dental Service and therefore has to learn general medical and dental terminology commonly used in dentistry.
Receives treatment plans and presents to Chief or designee for approval.
Enters all Community Care consults into CPRS with all required information, including currently approved fees.
Coordinates with Community Care providers to facilitate treatment plan submissions and approvals.
Requests additional documentation from providers as required.
Uses computers to perform a wide variety of record keeping, correspondence, and tracking operations to include: inputting, deleting, retrieving, manipulating, and correcting information in databases or automated records.
Operates a computer keyboard and printer to perform office automation duties, using a variety of software packages.
Runs the open encounter report daily for all providers and facilitates the closure of missing encounter.
Serves as backup to Dental Service Medical Support Assistants during times of critical need.
Accesses data in conventional or electronic form necessary to prepare reports on the monthly productivity to providers, quarterly performance measures, monthly totals of new patients, and monthly no-shows, consults and the reports for new patients seen by dentists and hygienists.
Perform other duties as assigned.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/29/2022.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience described below:Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of the goals, commitments, and policies of the Dental Service and the priorities of the Service Chief to perform assignments so that missions of the Service can be carried out in an efficient manner. Ability to plan, organize and coordinate work in situations with multiple diverse demands. Knowledge of governmental regulations and guidelines in order to formulate service policies, answer service-related questions or solve service-related problems. Ability to learn general medical and dental terminology commonly used in dentistry. Thorough knowledge of grammar, punctuation, spelling, capitalization, format, and other requirements necessary to type letters, memoranda, and other forms of documentation correctly. General knowledge of quality assurance and Joint Commission requirements necessary for compliance. Ability to locate and summarize data from files necessary to complete reports. Ability to communicate effectively and appropriately with all customers. Qualified typist is required.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: The work requires sitting for extended periods as well as standing, bending and carrying light items such as books, papers and small items. The work is performed in an office/reception area setting at the George E. Wahlen Veterans Affairs Health Care System Dental Service in Salt Lake City, Utah.

Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.
