Full Job Description
The Utah Department of Corrections, Draper Site Prison is looking for an individual who is highly motivated, with a strong work ethic and exceptional interpersonal skills to fill an Office Specialist II position. This individual may supervise staff in an office setting, will accompany security staff to take notes in meetings with offenders, and work directly with Correctional Administrators and prison staff. This position is currently located at the Draper Site Prison and will move to the new Utah State Correctional Facility located west of the Salt Lake City airport in 2022. We are seeking an individual who can work at both locations.
Provide Administrative Support and Assistance to Correctional Staff and Correctional Administrators.
Duties include a variety of support services, such as:Prepare and process documents; data entry.
Originates confidential correspondence, reports, documents, and other written materials; edits written material for accuracy.
Records and/or transcribes minutes for meetings including taking minutes at Offender Management Review (OMR) meetings.
Multitasking and Prioritizing workflow.
May Supervise staff.

Example of Duties
Providing clerical support, including answering telephones, responding to emails, managing calendars, taking minutes, and scheduling meetings.
Participates in mandatory training and meetings.
Writes and drafts correspondence, reports, documents, and/or other written materials.
Understands and keeps up to date on policies and procedures.
Maintains an office supply inventory.
Assists Correctional Administrators with administrative tasks as assigned.
Risks found in the typical office setting, which is adequately lighted, heated and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc.
Typically, the employee may sit comfortably to perform the work; however, there may be some walking; standing; bending; carrying light items; driving an automobile, etc. Special physical demands are not required to perform the work.
