Job Description
The Division of Finance is seeking an Office Specialist who can work independently, and provide excellent customer service in potentially stressful situations. If you pride yourself on your friendly, helpful disposition and high level of organization, this could be the position for you!

Principal Duties
As the Office Specialist you will:

Provide customer service by taking and returning phone calls to vendors and state citizens.
Provide customer service to vendors and state citizens to:Research missing checks and tax refunds.
Provide copies of cleared checks.
Provide replacement for lost checks.
Provide assistance to customers to complete online check replacement forms.
Organize and sort checks to be distributed.
Receive returned checks and resend to updated address, if available.
Sort and store returned checks when no updated address is available.
Generate reports of returned checks to alert state agencies of non-payment.
Be responsible for accurate data entry.
Assist with Division of Finance mail processes 2-3 days per week (on in-office days).
Provide office and administrative support to others.

Additional Duties
In addition to the duties listed above, you may provide back-up to other employees to:Maintain vendor information files.
Enter contract data into finance system.

The Best Qualified Candidate
The best qualified candidate will have:Experience providing customer service in an office environment.
Experience entering and reviewing information in databases.
Additional preference may be given to applicants who are English/Spanish bilingual.

The Disbursements area of the Division of Finance is dedicated to managing the disbursement of payments to citizens and state vendors.

Working Conditions:Risks found in the typical office setting, which is adequately lighted, heated and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc.
Physical Requirements:Typically, the employee may sit comfortably to perform the work; however, there may be some walking; standing; bending; carrying light items; driving an automobile, etc. Special physical demands are not required to perform the work.
