The Department of Financial Institutions is looking for an Office Specialist II to provide assistance and support to the Finance Director. The Office Specialist II will exercise independent judgment and perform complex tasks requiring advanced office skills.

Principle Duties
As an Office Specialist you will:

Oversee and coordinate the Department’s front desk operations.
Receive supporting documentation and authorization used to enter cash receipts and accounts payable in the State’s FINET accounting system.
Generate purchase orders and requisition documents.
Set up vendors and customers.
Prepare fiscal year-end internal transactions and closing documents using the FINET systems.
Collect and transmit payroll-related documents to ERIC Payroll.
Maintain, in an orderly and logical manner, all cash receipt documents, accounts payable documents, and interdepartmental documents, in accordance with record retention schedules.
Complete special projects for the Finance Director, Chief Examiner, and Industry Supervisors.
The Ideal Candidate
The ideal candidate will have:Great organizational skills and strongly detail oriented.
Excellent customer service skills.
Experience working in an office environment.
An understanding of accounting principles and concepts, and conscientious of internal controls and fraud prevention.
A friendly and positive disposition.
Preferences
Preference may be given to applicants that have:Experience working with the State’s FINET system.
Knowledge of the State’s accounting, payroll, and travel policies and procedures.
Current employees of the Department of Financial Institutions.

Risks found in the typical office setting, which is adequately lighted, heated and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc.
Typically, the employee may sit comfortably to perform the work; however, there may be some walking; standing; bending; carrying light items; driving an automobile, etc. Special physical demands are not required to perform the work.
