The Utah State Board of Education (USBE) is looking for a receptionist to join its team. As the receptionist, you will be the first point of contact for USBE staff and visitors and will greet and direct visitors as needed. You will be in charge of answering phones and directing callers and visitors to various parts of the office. You will also contact employees regarding visitors, take messages, validating parking, and various other duties as needed.
To be successful in this role, you will need excellent customer service and communication skills. Prior experience as a receptionist is helpful.

Principal Duties:
Receives calls and/or greets visitors, takes and relays messages, responds to requests for information; provides information or directs callers/visitors to appropriate individuals, validate parking.
Update calendars and schedule meetings
Work directly with the Administrative Services Manager to address agency, fleet, visitor, etc. issues/concerns
Supervise fleet database, vehicles, maintenance, and scheduling
Train coverage staff on front counter processes/procedures
Organization and up-keep support to front lobby, conference room and break rooms
Maintain office security by following all protocol and safety procedures
Work closely with building management to fulfill USBE building needs and services
Keep track of office supply inventory and make sure all is fully stocked
Maintain and/or create files or record keeping systems. Sort, label, file and retrieve documents, or other materials.
Receive agency shipments as needed

Ability to resolve conflict quickly and appropriately
Multitasking and time management skills, with the ability to prioritize tasks
Maintain a consistent schedule Monday-Friday from 8:00 a.m. to 5:00 p.m. with one hour lunch
Excellent planning, organizing, and leadership skills
Computer database and Microsoft Office software skills

Risks found in the typical office setting, which is adequately lighted, heated and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc.
Typically, the employee may sit comfortably to perform the work; however, there may be some walking; standing; bending; carrying light items; driving an automobile, etc. Special physical demands are not required to perform the work.
