CSHCN Administrative Assistant

The main purpose of this position is to provide administrative assistance to the Office of Children with Special Health Care Needs (CSHCN) programs and Division of Family Health (DFH) Leadership. The CSHCN Administrative assistant will perform the following duties:Schedule board/committee meetings for assigned boards/committees
Ensure that all work is accurate, including notices, agendas, minutes, and other correspondence
Take and prepare minutes for each Board/Committee meeting
Arrange travel accommodations by making plane and hotel reservations
Prepare travel reimbursement forms for travel expenses for the DFH & CSHCN Director
Schedule, coordinate meetings, plan and process travel as requested
Create, coordinate, maintain CSHCN employee phone and organizational chart lists
Make sure website information is timely updated and maintained
Maintain and demonstrate a working knowledge and understanding of all laws, rules policies and procedures relating to DFH and CSHCN
Demonstrate a working knowledge of basic to intermediate computer skills and agency used software applications
Use computer efficiently; Accurately enter data into system used at DFH
Maintain accuracy in DHHS writing style guidelines etc
Meet or exceed established processing deadlines, as assigned
The Ideal Candidate:Experience taking minutes, writing letters and correspondence
Google and Microsoft office suites and calendar experience
Experience using databases, computer programs and systems
Ability to present and set up meeting information in an organized and professional manner
Ability to communicate information and ideas in an organized manner, clearly, concisely, verbally, and in writing
Experience with ordering office supplies and equipment
Knowledge of Public Meeting law and rules
Confidence and competence in Excel, Google Sheets, and or other spreadsheet programs
Knowledge of community resources and ability to refer to those contacts
Experience working and coordinating with the public
Typical Qualifications:Experience as an office assistant
Proficiency in recording, writing minutes and correspondence
Proficiency in use of computers, office equipment, and technology
Excellent organizing, filing, medical record management, daily operation and execution skills
Attentive, prompt, and responsive to due dates and deadlines and customer service
Ability to multi-task and manage multiple projects simultaneously
